2003-2004 Student Government Resolution No. 12 In the Student Government Mr. Chambers introduced the following resolution. A Resolution Be it resolved by the Student Government of Woodrow Wilson High School, That Section 1.-- (a) preside over all Student Government meetings; (b) coordinate the work of the Student Government through the other officers and committees; (c) give assistance, guidance, and praise when appropriate; (d) act as a facilitator of group discussion by summarizing, clarifying, etc.; (e) know the basics of meeting procedure to ensure smooth meetings; (f) maintain frequent contact with faculty and administrators; (g) work closely with the Student Government sponsor on all planning; (h) keep the principal informed of all Student Government activities; (i) attend community group meetings to serve as a spokesperson for the Student Government; (j) speak at local civic organization meetings, when required or invited; and (k) participate in Student Government-sponsored activities. Section 2.-- (a) work closely with the president; (b) assume the president's duties if necessary; (c) chair an important committee; and (d) work with the president and treasurer in preparing the budget and calendar. Section 3.-- (a) prepare and distribute the agenda for business meetings in the style that the Executive Committee selects; (b) take roll of attendees at meetings, either verbal or written; (c) take minutes of the proceedings of all Student Government meetings; (d) receive all main motions and amendments proposed during a meeting to be included in the minutes; (e) prepare and distribute the written minutes, with the president's assistance, in a timely manner; (f) make certain that the administration and faculty receive copies of the minutes; (g) maintain a file of original agendas and minutes; (h) type all required letters of the president, vice president, and sponsor; (i) maintain the files of the Student Government; (j) establish a policy concerning the lending of files; (k) maintain contact names, addresses, phone numbers, and email addresses of people with whom the Student Government regularly works; (l) produce a Student Government directory; (m) alert the organization's members to important correspondence; and (n) record the activities of the year through video, photos, written reports, and other materials and prepare an historical document. Section 4.-- (a) work closely with the president and vice president in preparing a workable year-long calendar and budget; (b) oversee Student Government expenses and revenues; (c) maintain an accurate and detailed financial record; (d) give monetary advice to the Student Government; (e) prepare cost/benefit analyses of various endeavors; (f) understand the policies the school has in regard to the use of student finances and explain them when necessary; (g) authorize payment vouchers, review purchase orders, and give final approval before invoices are paid; (h) deposit money quickly to prevent its accidental loss; (i) make and interpret monthly financial reports to the membership at the business meeting; (j) check that all contracts entered into are signed by the appropriate school officials; and (k) work with the school bookkeeper. Section 5.-- (a) call Executive Committee meetings, as needed, in accordance with the constitution, bylaws, standing rules, and parliamentary authority; (b) coordinate the work of the committees; (c) assist the president in preparing meeting agendas; (d) offer procedural opinions and serve as Parliamentarian ex officio; (e) chair the Constitution, Law, and Justice Committee; (f) help Executive Committee members express their ideas in Executive Committee meetings; (g) keep the group focused on one idea at at time; (h) help resolve disagreements among Executive Committee members; (i) research information for the Executive Committee; (j) work with Executive Committee members in assigning responsibility for certain aspects of a project; (k) constantly monitor progress toward meeting deadlines and ensure the members know the deadlines; (l) prepare monthly Executive Committee reports; (m) give input to the Executive Committee; (n) work with the treasurer to design ways the Executive Committee can cut costs; and (o) check with the constitution, bylaws, standing rules, and parliamentary authority concerning the Executive Committee's authority. Section 6.-- (a) regularly report Student Government actions to their constituent groups in an accurate, informative, and interesting way; (b) present to the Student Government, as fairly as possible, students' ideas; (c) when voting on issues, maintain a consciousness of what is best for the students rather than "what is best for me"; (d) make special efforts to inform the students of upcoming events that might interest them; (e) take informal polls on how students feel about certain topics; (f) welcome new students to the classroom; (g) encourage non-members of the Student Government to work on commissions.
